Our Terms and Conditions

  1. Booking: Accommodation is booked from Monday to Friday, Friday to Sunday or Friday to Friday.  Bookings can be made either via our online reservation system or by telephone.  You will receive an automatically generated booking summary by email to the email address you provide in the booking form. This does not form a contract between us. A contract shall only arise when your booking is subsequently confirmed in writing via a letter of confirmation sent by post or email.  Please read the confirmation details carefully and inform Chalkdell Stays immediately if anything is incorrect.
  2. A telephone /e-mail booking will be held for a period of 5 days pending receipt of a non refundable deposit of 25% of the full accommodation charge.
  3. Payment: Full payment must be made at least four weeks before the start of the holiday. Bookings made less than four weeks before the start of the holiday must be accompanied by the full charge. Failure to pay the balance when due could result in the cancellation of the booking.
  4. If an overdue balance is not paid by the deadline given it will be assumed you have cancelled, and the property will become re-available.  However, if the property does not re-book you will still be liable for the balance.
  5. Cancellations must be received in writing, either by letter or e-mail. If you do not receive a written acknowledgement, you must assume that we have not received your communication.
    In the event of a cancellation you will be liable to pay the total amount due.  Cancellation insurance is strongly advised at the time of booking. Please advise us immediately if you have to cancel and we will release the property for re-letting.  If we are able to re-let the property, then we will merely retain the deposit to cover costs. If we cannot re-let, you will be liable to pay the balance due.
  6. We reserve the right to refuse any booking or cancel any bookings already made subject to refunding any sums you have paid without further liability on our behalf. In the unlikely event of circumstances beyond our control such as power failure / plumbing / heating necessitating the cancellation, we shall endeavour to give as much notice and assistance as possible and refund your stay.  We will not be held liable for any additional costs.
  7. What’s Included: Electricity and heating are included plus a single basket of logs.  Bed linen, bath and hand towels are included and must not be removed from the property.  Guests should bring their own swimming towels and cot bedding if required.
  8. Cleaning & Damage: Guests must agree to take good care of the property and its contents and on departure leave it in a clean & tidy condition.  Guests are responsible for any breakages or damage and must inform us of such.   Damage, breakages or losses to buildings, fixtures, fittings and articles belonging to Chalkdell or Road Farm must be paid for.  More favourable consideration will be given if accidental damage is reported during the stay or before check out.  We reserve the right, on arrival, to charge a returnable deposit against damage or failure to leave the property in a clean and tidy condition.
  9. Smoking is strictly forbidden inside the cottages and all other buildings.
  10. Arrival/Departure:  We welcome guests after 4pm as this gives us time to prepare the house for you.  We would be grateful if guests would leave by 10.00am on the day of Friday departure as we need access for cleaning. A Sunday departure, however, is by 5pm.  Please let us know if you cannot arrive before 8.00pm.
  11. It is a legal requirement that all non-UK citizens must produce a current passport on registration.
  12. Use of the property:  We reserve the right to terminate your stay if you or members of your party are believed to display unreasonable behaviour, be causing a nuisance to other parties or are not treating the property with due respect.
  13. There must be no more members staying than the maximum number stated when booking.
  14. We reserve the right to enter the property during your stay.
  15. We shall not be liable to you or any other member of your party for any loss or damage to you or your property however caused.  All guests, their family, friends and visitors must ensure that they take all reasonable steps to ensure their own safety and that of others whilst in Chalkdell and on Road Farm premises.
  16. Phones:  It is anticipated that guests will use their own mobile phones while staying at Chalkdell as there is no landline.  However, in an emergency we shall be glad to pass on a message.  Wireless Internet access is available at all times, but may not be received throughout the property due to differences in signal strength.
  17. We hope you have a lovely stay but if you do have a complaint, please report it immediately so we can try to resolve it.  Chalkdell is part of a working farm, so visitors must accept that there may be sounds and smells associated with  countryside living that cannot be avoided.
  18. Cheques payable to Chalkdell Stays. Credit cards accepted for deposits only. Balance payments by debit, switch card or cheque please. Other payments by credit card subject to 5% surcharge
